As you might have read in previous blog entries (here and here), processing archivists Amy Berish, Darren Young, and myself have been cleaning up and improving ArchivesSpace data in preparation for the Rockefeller Archive Center’s new access system. As part of this initiative, I have removed thousands of legacy access restriction notes from our collections.

As you may already know, the Digital Strategies Team is working on developing and integrating a new discovery system for the RAC. In preparation for this new system, we have been working on cleaning up data in ArchivesSpace so that the new system can more effectively point researchers to relevant material. My involvement in the data cleanup phase included adding structured (begin/end) dates to all archival objects in our ArchivesSpace repository. In this post, I’ll be talking about how we developed a semi-automated plan to clean up date expressions and add structured dates to our repository by parsing date expressions.

As Hillel stated in his recent blog entry, the RAC Processing Team has been working on a number of projects to clean up and improve the archival data our institution maintains in order to support the functionality we intend to provide in our discovery and delivery interface. I am writing this post to describe how Amy Berish, Katie Martin, and I have approached deleting and editing a massive collection of data as well to summarize the work we have accomplished to date in collaboration with different colleagues at the RAC.

Several months ago, I wrote about our plans for the next phase of Project Electron, which targets infrastructure for the discovery and delivery of archival records. Since then, we’ve refined this high-level process proposal into working code. This post summarizes our work to date, and outlines current and ongoing efforts to improve system performance, integrate additional data sources, and improve the quality of our archival data.

We’ve been doing a lot of technological systems work at the Archive Center over the past few years; we’ve been standing up and migrating to new systems, tweaking and refining existing systems, and developing entirely new services to help with everyday work. We’ve recently kicked off a systems infrastructure audit project that aims to help us understand our systems better and make improvements on how we develop, deploy, and maintain our archival systems. This blog posts aims to provide some background for why we took a close look at all of our systems, both in production and development, and lays out some findings from our systems audit, and some of the general talking points that we posed to ourselves in trying to figure out a way forward. Hopefully, our experiences will help others in the same situation figure out what questions they should be asking of themselves.
